Terms & Conditions

 

Payment

Payment in full is required to guarantee the booking.

Non-refundable full payment must be received within 48 hours of booking.

 

Prices

All prices are GST inclusive. Prices are subject to change – please check before booking for current rates.

Delivery, Setup (bump-in), & Pack down (bump-out)

The delivery, set up, & pack down is included in the hire fee and is performed outside of the rental period. Pictology will arrive to set up anywhere between 60–90 minutes (or as agreed) prior to the agreed time.

Pack down will occur anywhere between 60-90 minutes at the end of the 24-hour hire period, or as agreed with a Pictology staff member.
 

In the event that the setup has been delayed due to either;

  1. the venue preventing access on time, or

  2. your events are running past agreed time,

the hire will still end as per the agreed time on booking form.


In the event that Pictology has set up on time but the hire does not start at the agreed time due to over running of previous activities by yourselves or venue, the hire will still end as per the agreed time on booking form.
 

Venue Location

It is the Hirer’s responsibility to ensure that all address details of the venue / location are correct. Pictology will not be responsible for delays resulting from incorrect or missing location / address / venue details.

It is Hirer’s responsibility to ensure that the venue has agreed for Pictology to be in attendance at their venue (if required and/or agreed by both parties) at the agreed time. This also includes ensuring that there is access to enter the venue and enough space with a power socket in close proximity of where the services are to be (within 1.5m). If there is insufficient space for Pictology to set up, best efforts will be made by the hirer to find an alternative location, as the Hirer still be charged the full hire amount.

It is Hirer’s responsibility to inform a Pictology (on the order form) of any circumstances that may make setting up take longer, these may include going upstairs, a longer than reasonable distance from unloading area to set-up area etc. If Pictology is not made aware of any impediments and the set-up takes longer than usual 1 hour allocation, your hire period may be affected.

Work Health and Safety (WHS)

Pictology takes the safety of all guests and our staff very seriously. Abusive and / or aggressive behaviour will not be tolerated. Pictology reserves the right to pack-down the equipment and leave the venue immediately if guests become abusive or our staff feel threatened.

 

Damage

The Hirer assumes full responsibility for any damage by the Hirer’s guests to all equipment provided by Pictology. If damage to the equipment and electronics occurs due to the Hirer’s guest’s behaviour (through negligence or otherwise), the Hirer will be charged for the repair or replacement of the damaged parts.

To prevent damage, the booth attendant (if required or in attendance) has the right to refuse service to any person or to stop the usage of the Booth at any time during the event if they feel that the Booth is being misused. Food and drinks are not to be left on top of the photo booth.

Cancellations

All cancelations must be made either in writing via email, or via telephone by directly speaking with a Pictology staff member. Cancellations made prior to seven days of the event date – full refund will be processed (less booking fee). Cancellations within seven days of the event date – 50% refund will be processed (less booking fee).

Use of Images

Images captured by Pictology will remain the property of the hirer and every reasonable effort to ensure digital security of the image, GIF, or video will be made. Pictology will not use any photo, GIF, or video for promotional purposes, unless prior permission has been granted. Pictology will not use images which are deemed unsuitable or damaging to any person/s. A back up of all images will be kept by Pictology for a period of six months before being permanently deleted. Online gallery images will be available for viewing for a period of 1 month before being taken down.

Indemnification

Pictology shall not be responsible for any injury and / or mishap of any guests whilst using our photo booth and / or equipment. Furthermore, Pictology shall not be responsible for venue equipment failure, fire, communication outage or interruption of service; natural disaster and other accidents resulting in disruption to our service. Any outages for more than twenty (20) minutes due to a fault in Pictology equipment will result in a refund of the booking fee on a pro rata basis.
